1. Who we are

Vela Content Studio is a brand of Fightclub Belgium SRL, Frans Buyensstraat 9/1, 2000 Antwerpen, company/VAT no. BE 0809.962.371 (hereinafter 'Vela', 'we'). We are responsible for processing your personal data through velacontentstudio.be. Privacy questions: hello@velacontentstudio.be.

2. What data we process and why

  • Contact form and social check: name, email address, company, website or social media link and your message. Purpose: respond to your request and prepare your social check or quotation. Legal basis: pre-contractual steps at your request and our legitimate interest in responding to enquiries.
  • Booking a call: if you book an appointment through Calendly, Calendly processes your name, email address and chosen time slot. Legal basis: pre-contractual steps.
  • Customers: contact and billing details and the materials you provide (product photos, logo, brand identity). Purpose: deliver the service and issue invoices. Legal basis: performance of the contract and legal (accounting) obligations.
  • Website use: only with your consent do we measure website use with Google Analytics and Microsoft Clarity (see our cookie policy). Legal basis: consent, which you can withdraw at any time.

3. How long we retain data

  • Enquiries that do not become customers: up to [24] months after the last contact.
  • Customer data: for the duration of the contract; billing data: 10 years (the statutory retention period in Belgium).
  • Analytics data: [14] months in Google Analytics; Microsoft Clarity retains recordings for [30] days.

4. Who we share data with

We never sell your data. We work with the following processors, with whom we have data processing agreements:

  • Supabase (storage of form submissions), region [EU-REGIO SUPABASE PROJECT]
  • Lovable (website hosting and management)
  • Google (Google Tag Manager, Google Analytics)
  • Microsoft (Clarity)
  • Calendly (appointments)

Some of these parties may process data outside the European Economic Area. In that case, this takes place on the basis of the EU-U.S. Data Privacy Framework or the European Commission's standard contractual clauses.

5. Your rights

You have the right to access, rectification, erasure, restriction, portability and objection, and you can withdraw any consent you have given at any time. Send your request to hello@velacontentstudio.be; we respond within one month. If you disagree with how we handle your data, you can lodge a complaint with the Belgian Data Protection Authority (www.gegevensbeschermingsautoriteit.be). If you live in the Netherlands, you can also contact the Autoriteit Persoonsgegevens (www.autoriteitpersoonsgegevens.nl).

6. Security

We take appropriate technical and organisational measures, such as encrypted connections (HTTPS) and restricted access to data.

We may update this policy. The date at the top shows the latest version.
